The Lullabar is a vibrant wellness cafe, a soothing nail salon, and a trusted child care haven, dedicated to creating a secure and welcoming space for our cherished customers, including caregivers, parents, and wellness enthusiasts. In the midst of our rapid growth, we are searching for a Front Desk Administrative Assistant who can seamlessly adapt to our ever-evolving environment, placing customer satisfaction at the forefront, and ensuring the seamless flow of daily operations.
This position will report to our People Operations Lead.
Job Summary and Responsibilities:
- Exceptional Customer Service: Greet guests with warmth, address inquiries, and ensure a delightful experience for both adults and children.
- Maintaining Cleanliness: Consistently monitor and uphold the cleanliness and orderliness of the front desk, restrooms, retail merchandise area, and communal spaces, crafting an inviting and safe ambiance.
- Answering Calls and Emails: Responsively manage phone calls and emails, furnishing information about The Lullabar’s services, class schedules, childcare facilities, and more.
- Booking Reservations: Assist customers in booking reservations for wellness classes, nail salon appointments, and childcare services, ensuring accuracy and scheduling convenience.
- Giving Tours: Conduct tours of The Lullabar for potential customers, showcasing the cafe, childcare area, and nail salon, highlighting our features and services.
- Providing Information: Offer comprehensive information about class descriptions, workshop schedules, nail salon services, pricing, and special promotions or packages.
- Check-In/Check-Out: Efficiently manage the check-in and check-out process for customers attending classes, receiving nail treatments, or utilizing childcare services. Explain our liability waivers for temporary childcare during the check-in process.
- Flow of Operations: Assist in organizing the flow of daily operations, coordinating schedules, and ensuring the seamless execution of classes, appointments, and childcare services.
- Event Support: Provide support in organizing and hosting special events, workshops, and classes at The Lullabar, including setup, check-in, and guiding guests to event locations.
- POS Transactions: Accurately process point-of-sale transactions for classes, nail services, cafe purchases, and childcare fees. Provide receipts and address payment-related matters.
- Feedback Collection: Encourage customers to share feedback on their experiences, both with our services and childcare, and relay this information to management for continuous improvement.
- Assisting Parents: Offer assistance and information to parents and guardians regarding childcare services, including drop-off and pick-up procedures, addressing concerns, and accommodating special requests.
- Data Entry: Accurately input customer information, reservations, and transactions into computer systems, ensuring up-to-date and organized records.
- Calendar Management: Maintain an up-to-date digital calendar that includes class schedules, nail appointments, childcare hours, and events to effectively coordinate operations.
- Document Preparation: Create, format, and edit documents such as promotional materials, event flyers, and informational brochures using software applications.
- A minimum of 2 years of customer service experience.
- At least 1 year of front desk receptionist experience.
- Proficiency in proper phone etiquette and business email communication.
- Experience in booking clients for appointments and effective communication is essential.
- Previous work experience in a fast-paced or high-traffic customer service environment.
- Proficiency in using office software and computer systems.

- This position starts at an hourly rate of $18 per hour.
- This is a part-time position offering 15-25 hours a week.
- Working early mornings and weekends are required.
